1. Introduction
flyntly ("flyntly", "we", "us", or "our") provides a software-as-a-service platform that helps teams communicate, stay connected, and remain aligned. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in connection with our website, our web application located at app.flyntly.com, and any related services, features, and applications we provide (collectively, the "Service").
This Privacy Policy applies to personal information we process about visitors to our website, individuals who create an account, members of an organization or workspace that uses the Service, and others who interact with us. It does not apply to the practices of third parties that we do not own or control, including the third-party applications you may choose to connect to the Service.
By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy. This Privacy Policy should be read together with our Terms of Service, which govern your use of the Service. If you do not agree with our practices, please do not access or use the Service.
2. Information We Collect
We collect personal information in several ways: information you provide to us directly, content you create within the Service, information we collect automatically as you use the Service, and information we receive from third parties.
Information you provide
When you register for an account, create or join a workspace, or otherwise interact with us, you may provide us with personal information, including:
- Account and profile information, such as your name, email address, password, profile photo, job title, organization name, time zone, and any other details you choose to add to your profile.
- Billing information, such as your billing contact details, billing address, and the limited payment details required to process a transaction. Full payment card numbers are handled by our third-party payment processor and are not stored by us.
- Communications you send to us, such as the contents of support requests, feedback, survey responses, and other correspondence.
Content you create
The Service allows you and your team to create, send, and store content. This includes messages, conversations, comments, files and attachments you upload, and other materials you share within a workspace. We process this content to provide the Service, and we treat the content of customer communications with care and confidentiality.
Information collected automatically
When you use the Service, we and our service providers automatically collect certain information about your device and how you interact with the Service, including:
- Usage data, such as the features you use, the actions you take, the pages and screens you view, the date and time of your activity, and the frequency and duration of your sessions.
- Device and log data, such as your IP address, browser type and version, operating system, device identifiers, language settings, referring URLs, and diagnostic or crash data.
- Cookies and similar technologies, which we use to operate the Service, remember your preferences, keep you signed in, and understand how the Service is used. See the section on Cookies and Tracking Technologies below for more detail.
Information from third parties
We may receive personal information about you from third parties, including:
- Third-party integrations you choose to connect to the Service, which may share data with flyntly in accordance with the permissions you grant.
- Single sign-on (SSO) and identity providers you use to authenticate, which may share your name, email address, and other profile information with us when you sign in.
- Your organization or workspace administrator, who may provide information about you when provisioning your account or managing your access to the Service.
3. How We Use Your Information
We use the personal information we collect for the following purposes:
- To provide, operate, and maintain the Service, including creating and managing your account, hosting and delivering your content, and enabling the features you use.
- To process payments and manage billing, including handling subscriptions, invoices, renewals, and related transactions.
- To provide customer support, respond to your inquiries, and troubleshoot issues with the Service.
- To secure the Service, including detecting, preventing, and responding to fraud, abuse, security incidents, and other harmful or unauthorized activity.
- To improve and develop the Service, including analyzing usage trends, measuring performance, conducting research, and developing new features and functionality.

- To comply with legal obligations, enforce our Terms of Service, and protect the rights, property, and safety of flyntly, our users, and others.
4. Legal Bases for Processing
If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with similar laws, we process your personal information only where we have a valid legal basis to do so. Depending on the context, the legal bases we rely on include:
- Performance of a contract— where processing is necessary to provide the Service to you or to your organization under our agreement, such as creating your account and delivering the features you use.
- Legitimate interests— where processing is necessary for our legitimate interests and not overridden by your rights, such as securing the Service, preventing fraud, improving and developing our products, and understanding how the Service is used.
- Consent— where you have given us consent, such as for certain marketing communications or the use of non-essential cookies. You may withdraw your consent at any time.
- Legal obligation— where processing is necessary to comply with a legal or regulatory obligation to which we are subject.
5. How We Share Your Information
We do not sell your personal information. We share personal information only in the limited circumstances described below.
- Service providers and subprocessors— we share information with vendors who perform services on our behalf, such as cloud hosting, payment processing, analytics, customer support, and email delivery. These providers are permitted to process personal information only as necessary to provide their services to us and under appropriate confidentiality and data protection obligations.
- Third-party integrations you connect— when you enable an integration, we share data with that Third-Party Service in accordance with the permissions you grant. Your use of those services is governed by their own terms and privacy policies.
- Within your organization or workspace— if you use the Service as part of an organization or workspace, your administrators and other authorized members may be able to access information associated with your account and the content you share in that workspace.
- Legal and safety— we may disclose information if required to do so by law or in the good-faith belief that such action is necessary to comply with a legal obligation, respond to lawful requests, enforce our agreements, or protect the rights, property, or safety of flyntly, our users, or others.
- Business transfers— if flyntly is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to the commitments made in this Privacy Policy.
6. Cookies and Tracking Technologies
We and our service providers use cookies and similar technologies, such as web beacons and local storage, to operate, secure, and improve the Service. Cookies are small data files stored on your device that help us recognize you and remember information about your visit.
We use these technologies for several purposes, including:
- Strictly necessary cookies that are essential to operate the Service, such as keeping you signed in and maintaining the security of your session.
- Functional cookies that remember your preferences and settings to personalize your experience.
- Analytics cookies that help us understand how the Service is used so that we can measure and improve its performance.
You can control cookies through your browser settings, which typically allow you to block or delete cookies. Where required by law, we will request your consent before placing non-essential cookies, and you may withdraw that consent at any time. Please note that disabling some cookies may affect the availability or functionality of the Service.
7. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. The criteria we use to determine retention periods include the length of your relationship with us, our legal and contractual obligations, the need to resolve disputes, and the need to enforce our agreements.
When you or your organization delete content or close an account, we will delete or de-identify the associated personal information within a reasonable period, except where we are required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements. Residual copies may persist in backup systems for a limited time before being overwritten in the ordinary course.
8. Data Security
We implement technical and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. These measures include encryption of data in transit, access controls, monitoring, and regular review of our security practices.
No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for using a strong, unique password. If you believe your account has been compromised, please contact us promptly at privacy@flyntly.com.
9. International Data Transfers
flyntly operates globally, and your personal information may be transferred to, stored in, and processed in countries other than the country in which it was collected, including the United States. These countries may have data protection laws that differ from those in your jurisdiction.
Where we transfer personal information from the European Economic Area, the United Kingdom, or Switzerland to a country that has not been deemed to provide an adequate level of protection, we rely on appropriate safeguards, such as the European Commission's Standard Contractual Clauses and any required supplementary measures, to protect your information. You may contact us for more information about the safeguards we use.
